WinFlex Web Admin Basics

Active Users
To view a list of Active Users, click on the Users option under the MANAGE menu on the left. If you have multiple distributions, select the distribution you would like to view from the Select Distribution drop down box at the top of the Users page.

Sort users by Last Name, First Name, Username, E-mail Address, Creation Date or Logins by clicking on the red links at the top of each column. Click the numbers at the bottom left to navigate through multiple pages.

Click the info link on the left to view detailed information about a user. Once the User Details page is open, click the more link to view more information about a user. To view product details, click the Details link under Distribution Runs. The pie chart shows the runs per distribution (percent) by the user.


Pending Users
Click on the Pending Users option on the menu bar at the top of the Users page. Any WinFlex Web users who have requested access to the currently selected distribution will be listed on this page. There is also a Quick Link to approve users from the WinFlex Web Admin Site Home Page.

Click the Appr. box to approve access to the user, or click the Deny box to deny access to the user. If you have access to Multiple Distributions, select the distribution in the Approve For column. To approve for all of your distributions, select [ALL].

The following text is E-mailed to the user if they are denied access to WinFlex Web:


Your request to illustrate Prudential products using WinFlex Web has been denied by the carrier. Please contact the carrier for additional information.

You can choose a Denial Reason to let users know why they are not being approved for access to WinFlex Web. The Denial Reason is included in the E-mail sent to the user when they are denied access. The following denial reasons are the standard reasons already included in the Denial Reason list:
  • AGENCY - You must select an agency during the registration process in order to access our products.
  • DIST - You are currently not licensed to submit business through the selected distribution.
  • INFO - Your profile information is incomplete. In order to approve your request, more information is needed. Please update your profile and resubmit your request for access.
  • LICENSE - You are currently not licensed to submit business to us.
Custom denial reasons and messages can also be created. To create a custom denial reason, click on the Denial Reasons option under the General menu on the left.

You can also click the [Approve All] or [Deny All] buttons to approve or deny all users in the list.

To move a Pending User to another distribution, check the box in the Move column next to the user(s) you want to move. Select the distribution to move the user request to and click the [Move] button.

Add Users
1)   To add a new user, click on the Add User option on the menu bar at the top of the Users page. There is also a Quick Link to add users on the WinFlex Web Admin Site Home Page.

2)   Enter the E-mail address of the user you would like to add.

3)   If the user already exists in the database, confirm that the user information is correct and click the [Add This User] button. Click [Cancel] if the incorrect user information is displayed.

4)   If the user does not exist in the database, enter the first name, last name and phone number of the user you would like to add. Click [Add New User]. An E-mail will be sent to the user informing them that they have been added and inviting them to register for WinFlex Web.

Remove Users
1)     To remove a user, click on the Remove User option on the menu bar at the top of the Users page.

2)    Enter text to search for the user you would like to remove. Search by last name, first name, username or E-mail address.

3)    Select the user you wish to delete and click the [Remove Selected] button.

4)   A confirmation will appear that the user has been removed.

Upload Users
1)    To upload a list of users, click on the Upload Userlist option on the menu bar at the top of the Users page.

2)   Enter the path and file name of the list you would like to upload or click [Browse...] to locate the file.

NOTE: The file must have a .csv extension.

3)   The .csv file should include the user's last name, first name, E-mail address and phone number. For Example:

       Smith,John,jsmith@hotmail.com,111-555-1245
       Jones,Susan,sjones@aol.com,555-555-4652

4)   Click the Upload button. Existing WinFlex Web users will receive an E-mail notification that access has been approved for the carrier. New Users will receive an E-mail asking them to register for WinFlex Web.

Find Users
1)    Search for users by first name, last name, username, or E-mail address.

2)    Click the [Search] button.

3)    A list of users fitting the criteria will appear on the page. Click the info link at the left of the list for more information about a user.

Pre-Approved Users
Click on the Pre-approved Users option on the menu bar at the top of the Users page to view a list of approved users who have not yet registered for WinFlex Web.

Agencies:
To manage agencies, click on the Agencies option under the Manage menu on the left.

1)   The agencies that have access to a distribution are checked in the Approved column. Check an agency to give access to the distribution, or uncheck an agency to remove access. Click [Apply Changes] to update the agency approvals.

2)Click on the Agency Name to view more information about an agency.

Denial Reasons:
To create custom denial reasons to send to users, click on the Denial Reasons option under the Manage menu on the left.

1)    Enter a Short Name for the denial reason. The Short Name is the name you will select when choosing which reason to send to the user on the Pending list.

2)    Enter the Denial Reason Text you would like included in your custom denial reason.

3)    To include contact information with the denial reason, check the Include Contact Info box just to the upper right of the Short Name field.

To add the carrier contact information, fill in the Name, Email, Phone and Additional Info fields below the Custom Reasons. Click [Update] to save the contact information. To edit the Contact Info, change the information in the Contact Info fields and click [Update].

4)    When you have completed the information required to add a custom denial reason, click [Add].

To edit a custom denial reason, check the box next to the reason you want to edit. Click the [Edit] button. The Short Name and Denial Reason Text will appear in the boxes below the Custom Reasons list. Make any changes to the name/text and click the [Update] button.

To delete a custom denial reason, check the box next to the reason you want to delete. Click the [Delete] button. The custom reason will then be removed from the list.

Profile:
To change your password or modify personal information, click on the Profile option under the Manage menu on the left.

1)    To modify your password, enter your old password in the "Password" field.

2 )    Enter your new password in the "New Password" field and re-enter your new password in the "Confirm New Password" field.
NOTE: Your password is CASE SENSITIVE and must be at least 6 characters.

3 )    Click the [Save Profile] button to save your new password or updated personal information.

Reports
Select the Distribution, Begin Date and End Date to view the statistics for reports that span over a period of time. The Begin Date will default to the first day of the current month. To change the dates after selecting a report, click the [Run] button to refresh the page with the updated information.

Usage Reports:
Usage reports show statistics based on user logins and runs on WinFlex Web.

Click on the summary link to display the New Users, Illustrations, Logins and Avg. Runs/User for the current day, current week and current month. This report also displays the number of Total Active Users for the selected distribution.

Click on the report names to access the following Usage reports:
  • Logins by Week - Displays the number of logins per week and displays a graph of the login count per week.
    TIP: To maximize this report, expand the dates over several months.
  • Runs by Week - Displays the number of runs per week and displays a graph of the run count per week.
    TIP: To maximize this report, expand the dates over several months.
  • Logins by User - Displays the number of logins by user between the specified dates. This report also displays the total number of users and logins between the specified dates.
  • Forms Access - Shows the number of times by product that forms have been accessed between the specified dates.
  • Runs by User - Displays the number of runs by user between the specified dates. This report also displays the total number of users and runs between the specified dates.

Illustration Reports:
Illustration reports show statistics based upon the illustrations and products run for a carrier distribution.

Click on the summary link to display the number of Illustrations, Most Popular Product, Most Popular Concept, Avg. Death Benefit and Avg. Premium for the current day, current week and current month.

Click on the report names to access the following Illustration reports:
  • Runs by Product - Displays Product Name, Number of runs, Average Death Benefit and Average Premium for each product.
  • Runs by Product Type - Displays Number of Runs, Average Death Benefit and Average Premium for each type of product.
  • Runs by Concept - Displays the Number of Runs for each concept used in the distribution.
  • Query - Allows you to query illustrations run by age, sex, class, Death Benefit, and premium.

Performance:
Performance reports show statistics based upon the calc processes of WinFlex Web.
NOTE: Performance stats include Non-Reportable Home Office Users.

Click on the summary link to display the number of Illustrations, number of Logins and Average Calc Time for the current day, current week and current month.

Click on the report names to access the following Performance reports:
  • Average Calc Times (Week) - Displays average values, for each operation in the calc process. Values are displayed in seconds by week. Average calc time can be used to find bottlenecks in the process or determine how load is increasing over time.
    TIP: To maximize this report, expand the dates over several months.
  • Average Calc Times (Product) - Displays average values, for each operation in the calc process. Values are displayed in seconds by product. Average calc time can be used to find bottlenecks in the process or determine how load is increasing over time.
    TIP: To maximize this report, expand the dates over several months.
  • Max Calc Times (sec) - Displays maximum values for each operation in the calc process. Values are displayed in seconds by week. Max calc time can be used to analyze performance using a worst case scenario.
    TIP: To maximize this report, expand the dates over several months.
  • Average Calc Times (%) - Displays average values for each operation in the calc process as a percentage of the total calc time. Values are displayed by week. Average calc time can be used to find bottlenecks in the process.

  • Performance Comparison - Compares the average illustration processing performance of your company vs. other companies.

Agency Reports:
Agency Reports show information that can be helpful in managing affiliated agencies. The reports available in this section are Agency Users, Agency Usage, Agency User Count, Runs by Agency, and Agency Runs by Product.

Click on the report names to access the following Agency reports:
  • Agency Users - Allows you to search for users belonging to agencies or see all users for a particular agency. Enter the users First Name, Last Name, Username, E-mail or Agency Code. Click [Search] to look for the user.
  • Agency Usage - Reports the monthly usage for each agency.
  • Agency User Count - Displays the total number of users and participating users for each agency. Participating users are users that have run at least one illustration.
  • Runs By Agency - Displays illustrations run by each agency for a given time period.
    TIP: To maximize this report, expand the dates over several months.
  • Agency Runs by Product - Displays number of illustrations run by agency and product. Click the Agency code to view more detailed information about runs by product. For parent agencies, statistics will be shown for all affiliated agencies. To view individual agency information, select the agency below the Parent Agency statistics. Click Show Run Details to view runs by Illustration Package, WinFlex Express and WinFlex Web.

WinFlex Web:
Click on the WinFlex Web option under the General menu on the left to open the WinFlex Web login page. The page will open in a separate window.

Logout:
To logout of WinFlex Web Admin, click on the Logout option under the General menu on the left. You will be returned to the WinFlex Web Admin Site login page.
